| A few weeks ago I promised to explain more about document digitization concerning themes such as keywords and meta-tagging, document enrichment and its link with UDOCX and SharePoint.
Document enrichment is also known as content enrichment and I have found an interesting description in the Internet (not MS SharePoint related) which describes content enrichment as moving content to a higher level by, i.e., adding metadata [i]. In my online tour through Google.com I have come across many articles that answer all kinds of questions about SharePoint and it seems that SharePoint does really “speak another language”.
SharePoint comes pre-configured with several keywords out of the box!
I. Keywords
= managed keywords list = built-in metadata elements = columns = managed keywords.[i]
Example: Your own Profile in SharePoint. The “Ask me About” is a built-in column.

II. Keywords
= administrator-defined metadata elements = custom columns

Example: In the screen shot that you can see above you see a custom column (keyword) called “Country” that has been added to a specific folder by one of our administrators. Users that want to store paper documents into that specific folder can (or have to) fill in the column (keyword) “Country” (with the value: DE, NL ..) . Those custom columns are often attached to specific workflows.
III. Keywords
= Keywords are used to mark very specific items as more important for a particular word included in search, so that they show up more clearly in search results in SharePoint. [i]

What does UDOCX have to do with keywords?
With UDOCX you can create Scan to SharePoint Apps (smart buttons) on the display of multifunctional scanners and set up columns/keywords that need to be filled in on the display of the multifunctional so that paper documents are scanned to the correct folders. Those keywords/columns can even be imported directly from Microsoft SharePoint to the UDOCX admin.
In this example scenario there is a MS SharePoint document library called “Orders”. As one can see in the screenshot below, the document library contains two additional columns:
- Country = Choice (values: NL, GER, UK, US)
- To be checked = Yes/ No

If an end-user wants to store a paper document from a multifunctional scanner into this document library he/she pushed the smart button “orders” and is then forced to fill in the columns (keywords) using the display of the Scanner.

During the storing process the paper document is then automatically OCR’d and can be pushed into the correct workflow (in SharePoint) that is attached behind the column country (i.e. if country is NL send document through to info@udocx.com )

The last couple of weeks we been very busy developing our UDOCX Scan to SharePoint product and talking with different alliances, associations, customers and clients in order to understand further demands and needs when it comes to digitizing documents.

How?
Your UDOCX-enabled multifunctional communicates through the UDOCX cloud service to either SharePoint Online or a local, on-premise installation of Microsoft SharePoint.
Your employees may access your on-premise MS SharePoint services even when they are traveling or telecommuting (working from home). | Organizations store documents daily to specific SharePoint document libraries and folders in order to share or edit them or to further process them in specially designed workflows.
What about all physical documents (faxes, legal documents, financial, post...)?
Most companies have not been able to use the full potential of their Microsoft Sharepoint yet as physical documents could not be scanned directly to SharePoint or could only be scanned to MS SharePoint by using expensive in-house scanning software solutions.
